A traveler requests a quote, approves an itinerary, places a supplier deposit, makes final payment, completes the trip, and only then may commission become payable under the applicable supplier and host rules. An advisor should not treat the booking's total price as earned income or assume payment upon deposit. Some suppliers settle after travel, some follow different cycles, and refunds or chargebacks may reverse a previously anticipated amount.
Maintain booking reference, supplier, confirmed travel dates, gross trip value, commissionable basis, contracted rate, host split, expected trigger, date received, adjustments and net payment. Store traveler identifiers securely and restrict access. If a payout is late, compare the contract's timing rule against the actual trip completion and invoice status before escalating to the host or supplier. Maintain cash reserves for delayed or reversed commissions.
