What to know before you decide

01

Know what the block guarantees

A courtesy hold may expire without penalty; a contracted block may include financial obligations, minimum pickup or attrition clauses. Read the specific agreement.

02

Check release and name deadlines

Ask when unused rooms return to public inventory, whether rooming lists are required and how upgrades or extra nights are priced.

03

Assign payment responsibilities

Document whether guests pay the property directly, who guarantees incidentals and what happens if attendance falls short.

04

Evaluate attrition with a sample scenario

Suppose a group contracts for 20 rooms but ultimately uses only 14. The contract may impose an attrition charge based on the unused commitment, while a courtesy hold might simply release unsold rooms. The actual result depends on the written agreement, allowable reductions and cutoff dates. Before signing, compare guarantees, deposits, rate changes and room-release provisions with counsel or an experienced group coordinator where warranted.

05

Maintain a rooming-list process

Collect only the guest information the property requires, using an approved secure channel. Track bedding requests, accessibility needs, names, arrival dates, payment responsibility and special event timing. Set a cutoff for changes and give travelers their own hotel confirmation when available. Do not mistake a spreadsheet entry for a reservation the property has accepted.
